Handle buyer license expiry and renewals on Shopify

BuyerClear checks approved credential expiry daily. Before removing access it manages, it checks whether another current approved credential still qualifies the buyer. A renewal must be reviewed and approved; uploading a new file alone does not renew access.

Give staff time to review a renewal

Confirm the expiry against the submitted details and available evidence during the original review. A misread date can affect the later access decision. BuyerClear retains the separate evidence values so staff can investigate a discrepancy.

Expiry reminders follow the shop’s stored policy; new shops default to 30 days before expiry. That schedule is not editable in the current Settings screen. Treat a reminder as a prompt to obtain and review current evidence, not proof that a message reached the buyer.

Example: an approved renewal preserves qualifying access

Suppose a fictional buyer’s old credential expires on 30 September. A new credential is submitted on 20 September and approved on 25 September, with a later expiry.

This is an illustrative sequence, not an exact job schedule. Expiry processing runs daily; it is not a promise of removal at midnight.

If there is no qualifying approved renewal

BuyerClear attempts to remove the market membership it manages when the credential no longer qualifies. Shopify must confirm the change. Staff should inspect a pending or failed access operation and retry the failed step when appropriate.

The app preserves unrelated access granted outside BuyerClear. If a buyer can still purchase, inspect other company memberships, catalog assignments and publicly available products before assuming the expiry process failed. The store acceptance checklist helps distinguish these cases.

Professional licenses do not grant tax exemptions. The separate resale workflow has its own managed tax treatment; do not infer tax status from a professional credential’s renewal.

A small maintenance checklist

Expiry checks are not continuous registry monitoring

Daily expiry processing uses the credential’s expiry. Do not interpret it as a daily official check for suspension or revocation. The current product documentation describes the separate re-check behavior available under existing contracts.

If official evidence is unavailable during a review, that is a source limitation. It does not establish that a license is invalid. Keep the uncertainty visible and use a manual official check where available.
